How EMAR GATOR handles information in the eMarGator software.

Who we are#
eMarGator is software made by EMAR GATOR, 24790 Sussex St, Oak Park, MI 48237. We sell it to care provider agencies and group homes, who use it to run medication administration, staffing, and care coordination.
Two kinds of information, handled differently#
Care records are controlled by the agency. When an agency uses eMarGator, we process information about the people in its care on that agency’s behalf and on its instructions, under our agreement with it and applicable law, including a business associate agreement where HIPAA applies. If you receive care from an agency and want to know how your information is handled, contact that agency: it is generally responsible for answering, and we assist as our agreement and the law require.
Everything else in this policy is about our own handling of account and staff information, and about visitors to this website.
What we collect#
Staff and account information
- name, work email address, and role;
- the workplaces a person is assigned to;
- a mobile phone number, when the agency records one — used to sign in securely and, if the staff member opts in, to send scheduling text messages;
- schedule data: shifts, coverage requests, and responses.
App and website technical information
- what you type into the demo request form: name, work email, organization, and phone if you provide one. We use those details only to contact you about eMarGator.
- ordinary technical information a browser or a device sends — browser or device type, app version, IP address — and diagnostic reports when something breaks.
- on our public website only, aggregate measurement of which pages are visited and where visitors arrive from. We do not run this inside the signed-in product, so it never sees a client screen or a care record.
Text messages#
We send scheduling text messages only to staff who have turned the setting on themselves, in the app, with an unchecked-by-default consent checkbox. Consent is optional and can be withdrawn at any time by replying STOP or by turning the setting off.
Those messages carry operational facts only — which workplace, which day, which hours. They never contain a resident or patient name, a diagnosis, a medication, or any care detail. A text message sits on a lock screen and passes through a carrier’s systems, so we treat it as a public surface and design accordingly.
Full details are in our SMS Terms.
How we use information#
- to provide the software and keep accounts secure;
- to send the notifications a person has asked for;
- to support customers and answer questions sent to us;
- to find and fix problems, and to keep audit records the law requires;
- to respond to a demo request.
We do not sell personal information, and we do not share it for anyone else’s advertising.
Who else touches it#
Service providers we use to run the software include the following, each processing information on our behalf under contract:
- Amazon Web Services — hosting and text message delivery;
- Vercel — website and application hosting, and visit measurement on the public site;
- Google — visit measurement on the public site;
- Cloudflare — DNS and email routing for support@emargator.com;
- Sentry — error reporting for the web application;
- Expo — delivering updates to the eMarGator mobile app.
We also disclose information when the law requires it, and to a customer agency about its own staff and records.
How long we keep it#
Account and schedule data is kept while the agency is a customer, and afterwards only as long as our agreement with them or the law requires, then deleted. Demo requests are kept until they are no longer needed to follow up. Records of a text-message opt-in or opt-out are kept as long as the number could be messaged, because we have to be able to prove consent.
Security#
Access is limited to what a person’s role requires, traffic is encrypted in transit, and consequential actions are written to an audit trail. No system is completely secure. If we discover a security incident affecting information we hold, we will give notice as required by applicable law and by our agreements with customers.
Your choices#
- Turn scheduling text messages off in the app, or reply STOP to any message.
- Ask us about personal information we handle about you by writing to support@emargator.com. Where we hold it on an agency’s behalf — care records, or a staff account that agency manages — we will refer the request to that agency or work with it to answer you.
Children#
eMarGator is workplace software. It is not directed at children, and we do not knowingly collect information from children through this website.
Changes#
If we change this policy we will update the date at the top of the page, and tell customers directly when the change is significant.
